Presentations and documents with AI: slides, structuring a talk and PDF summaries
A blank slide and a hundred-page PDF feel equally daunting to many of us. AI helps with both: it organises your thoughts, builds the slides and tells you what a long document actually says.
Where does AI help with presentations and documents?
Making a presentation usually takes time in three areas: what to say, in what order, and how the slides should look. With documents the problem is often the opposite โ there is too much text and nobody has time to read it. AI is a great help with all of these:
- it suggests a structure and headings for your presentation in seconds
- it creates finished, tidy slides with pictures from just a topic or your notes
- it summarises a long PDF, report or contract and answers questions about it
- it helps you rehearse by asking the kind of questions an audience would
Remember the division of labour: AI produces a first version quickly, and you bring the content, the expertise and your own voice.
The tools in brief
- Gamma โ type a topic or paste your notes, and Gamma builds a complete presentation with headings, text and images. The fastest way to get a finished draft. You can also export it to PowerPoint or PDF.
- Canva โ lots of attractive templates and AI features that create slides and images. Best when appearance really matters, such as a sales pitch or a slideshow for a celebration.
- Copilot in PowerPoint and Word โ Microsoft's AI works right inside familiar Office programs. It can turn a Word document into a presentation, summarise long documents and lay out slides using your company's own templates. It usually requires Copilot as part of a Microsoft 365 subscription.
- NotebookLM โ a free Google tool where you upload your own documents. It answers questions only from those documents and shows where each piece of information comes from.
- ChatGPT and Claude โ general AI assistants that are excellent at planning a talk and summarising long texts.
Build the talk first, then the slides
The most common mistake is to start with the slides. A good presentation begins when you know what you want your listeners to remember. A simple basic structure works for almost anything, whether it is a club's annual meeting, a customer meeting or a village committee evening:
- Opening: why does this topic matter to this particular audience? Tell a story, ask a question or share a surprising observation.
- Three main points: listeners will not remember more. Give one example for each.
- Close: what should listeners do, think or decide after your talk?
Ask AI to help with the structure before you open any presentation software:
Once the structure is ready, take it to Gamma, Canva or PowerPoint and ask for slides based on it.
A presentation with Gamma in ten minutes
- Open Gamma and choose to create a new presentation.
- Paste in the structure you just made, or your own notes.
- Choose the number of slides and a style. Start small, for example 8โ10 slides.
- Go through the draft slide by slide. Remove unnecessary text, correct the facts and swap in your own photos where needed.
- Download the finished presentation as PDF or PowerPoint, or present it straight from your browser.
Copilot in PowerPoint: if you already use Office
If your workplace has Microsoft 365 with Copilot, you can build the presentation in familiar PowerPoint. Copilot can, for example, create a presentation from an existing Word document, put the slides into your company template, shorten a long presentation or write speaker notes. In Word, Copilot summarises long documents and suggests improvements to the text. One advantage is that files stay within your workplace's own environment, which makes data security easier. Just write your request normally, for example "turn this document into a ten-slide presentation for the management team", and then edit the result yourself. You will find more office tips in the guide Meetings and office work.
Summarising a long PDF
A housing company's property manager's certificate, a municipal zoning report, insurance terms or an industry report โ long documents are exactly where AI saves the most time. Upload the PDF to Claude, ChatGPT or NotebookLM, for example, and ask for a summary. Say who you are and what you want to know, so that the summary focuses on what matters.
When you ask for page numbers, you can easily check the key points yourself. AI can sometimes misunderstand or invent things that are not in the document. You can read more about this in the guide What AI cannot do.
A slideshow for a celebration with Canva
A presentation is not always a work task. Many people make a slideshow for a birthday, a wedding or a family reunion, and Canva is ideal for that. Choose a ready-made presentation template, upload old photos and ask the AI to suggest a short, funny or warm caption for each picture. If you only have paper prints, photograph them with your phone in even light โ AI features can also improve faded photos. Finally, add background music from Canva's own library and set the slideshow to play automatically. If the party also needs a speech, see the guide Creative writing with AI.
Other documents: quotes, instructions and reports
The same principle applies to other documents. A small business owner can ask for a quotation template, a work instruction or a final report for a customer. Always give the AI raw material: bullet points, an old example or short notes. The more of your own information you provide, the less generic the result will sound. See also the guide AI for small business owners.
Rehearse your talk with AI
Once the slides are ready, ask the AI to play a critical listener: "You are the most sceptical person at the meeting. Ask five difficult questions about my presentation." It is a good way to prepare and ease your nerves. You can also read your talk aloud to the AI on your phone and ask where listeners are likely to lose interest.
The most effective way to learn is to try it: take the next presentation you have to make anyway and let AI produce the first draft. Spend the time you save on rehearsing โ your audience will notice that more than fancy slides.
Frequently asked questions
What is the best free tool for making a presentation?
Gamma and Canva both have free versions that are fine for getting started. Gamma is fastest, Canva has the most design options. Free-tier limits change, so check them in the service.
Can AI make a presentation in Finnish?
Yes. Write your request in Finnish and say you want the slides in Finnish. Still read the text through, as the wording can sometimes be stiff or sound translated.
Can I trust an AI summary of a PDF?
A summary usually gives a good overview, but it can contain mistakes. Ask for page numbers and always check important figures and terms in the original. NotebookLM shows the source for each answer.
Do I need Copilot if I already have PowerPoint?
Not necessarily. Copilot is handy if it is already included in your workplace subscription. Otherwise, you can create the structure with ChatGPT or Claude, make the slides in Gamma or Canva, and move them into PowerPoint.
