Start with the problem, not the tool

A business owner's time is limited, so start with the task that takes the most time or annoys you most. Typical examples are emails and quotes, social media posts, meeting notes, answering customer questions and moving data from one program to another. Once you know what you want to make easier, choosing is simple. Find more ideas in our guide AI for small business owners.

1. A general assistant: the cheapest, fastest win

Almost every business owner benefits from a general assistant such as ChatGPT or Claude. Use it to draft a quote, make a tricky customer email polite, summarise a long tender request and brainstorm marketing ideas. If you use it daily, the paid version is usually worth it, because usage limits won't interrupt your work. There are also team plans for businesses in which conversations aren't used to train models.

2. Microsoft or Google: choose based on what you already use

If your company email and files live in Microsoft 365, Microsoft 365 Copilot works directly in Outlook, Word, Excel and Teams. It is, however, a fairly expensive add-on per user, so trial it with one or two people first and measure whether it really saves time. If you use Gmail and Google Drive, Gemini is now included in Google Workspace business plans, which is often a cheaper way to bring AI into daily work. Don't switch systems just for the AI.

3. Automation: save hours every week

Zapier and Make connect apps and handle routines. For example, details from your website's contact form can flow automatically into your customer list, and AI can categorise the message and draft a reply. Zapier is easier to start with; Make is more flexible and often cheaper at high volumes. Both are in English. Read more in our guide to agents and automation.

Tip: Start with one automation for something that happens at least ten times a week. Note how much time it saves per month and compare that with the tool's price.

4. Marketing and sales: Canva and Gamma

Canva is the small business marketing staple: social posts, ads, flyers and even short videos come from ready-made templates, with AI helping on images and text. Gamma turns your notes into a presentation or sales deck in minutes. Always read the text through and adjust it to your own voice. See also marketing and social media.

5. Team knowledge: Notion AI

Once a business has several employees, instructions and agreements easily scatter across email. Notion gathers them in one place, and Notion AI answers questions based on them. It suits teams willing to learn a new tool.

Watch out: Customer personal data, salaries and trade secrets don't belong in free consumer services. Use business versions where data isn't used for training, and check your GDPR obligations. The EU AI Act also requires businesses using AI to ensure their staff have sufficient AI skills. Read AI and the law.

Do you need new computers?

Almost all of the tools above run in a web browser, so your current computer is usually fine. If your machines are slow or reaching the end of their support, you can compare devices at business-focused online stores such as Dustin. Read more in our guide to meetings and office work.
